Terms and Conditions


Introduction

These terms and conditions (“this Agreement”) constitute the contract governing the supply of Scouts Online products and services by Christopher Eyre trading as Scouts Online (“we”) to whom such Services are provided to (“the Customer”, “you” or "your"). This Agreement comes into force once we have received your instruction to initiate services or products. By submitting this, you agree to these terms and conditions. If you are registering or purchasing this product on behalf of someone else, you undertake to ensure that they are aware of and agree to these terms and conditions.



Services

We will supply the Services in accordance with this Agreement. In doing so, we shall exercise the reasonable care and skill expected of an IT services company, but no IT product or service can be supplied without occasional faults. We will attempt to remedy any faults as soon as we can reasonably do so.

Scouts Online products and services are hosted on the internet by a third-party provider to maximise availability. All internet based products and services are subject to server and internet downtime.



Charges and Payments

We will send invoices for chargeable products and services via email every six months, commencing immediately or after an agreed free trial period. Payment is due by bank transfer within two weeks of the invoice date.

Invoices will be sent to, and be payable by, the Customer's "Site Admin" user.



Your Website Contents

The website content setup by your website users is the responsibility of the Customer. We cannot be liable for any regulatory or legal action taken as a result of provision, non-provision or the quality of the activities displayed on your Scouts Online website.



General Data Protection Regulations

A GDPR privacy policy relating to the data we hold for the purpose of the Scouts Online business may be found HERE.

The following bullet points outline our GDPR policy relating to personal data held on your website:

  • Subject Matter: Personal data held on your website.
  • Nature and Purpose of Processing: Website service to you.
  • Data Processed: Non-sensitive adult contact details and biography.
  • Processing of Personal Data: We will only add or update personal details on your website when supplied by or authorised by you.
  • Confidentiality: We will only share the data on your website with your parent Scout District, Region or County.
  • Your Obligation: You should ensure that you comply with GDPR.
  • Data Subject Rights: You may add, view, update and delete personal details through your website in accordance with GDPR data access, accuracy or deletion requests.
  • Data Disposal: Personal details held on your website will be deleted three months after your website has been removed.
  • Security: Websites are hosted on a computer architecture within Heart Internet's data centre, which has firewalls and is monitored to keep data safe.
  • Data Compliance: On request, we can provide a GDPR compliance document in the format suggested by the UK Scout Association.
  • Sub-Processors: We do not have sub-processors. However, you may choose to use integration with other third parties through your website.
  • Illegal Instruction: We will inform you immediately if we receive any instruction from you that we believe to be illegal.


Advertisements / Affiliates

We reserve the right to add advertisements that may be of interest to Scouts and are suitable for children to any website page.



Termination

Cancellation of Scouts Online products and services are subject to a 14 day notice period commencing from our receipt of your cancellation instruction via www.ScoutsOnline.co.uk/Marketing/ContactUs. We are unable to offer any refund.

We may cancel or terminate a product or service subject to a 30 day notice period commencing from sending an email to your "Site Admin" user.

We reserve the right to terminate a product or service supplied free of charge or as part of a free-trial with immediate effect.

We reserve the right to suspend use of services and products with immediate effect without notice where invoices have not been paid.

We or you may terminate this agreement with immediate effect by giving email or written notice to the other if the other is subject to bankruptcy or insolvency proceedings, becomes insolvent, makes any composition or arrangement with or assignment for the benefit of its creditors, or goes into either voluntary (otherwise for reconstruction or amalgamation) or compulsory liquidation, or a receiver or an administrative receiver is appointed over its assets.



Amendments

We reserve the right to add to, remove from, and/or amend the terms of the Agreement at any time, in which case the changes shall be displayed at www.ScoutsOnline.co.uk/Marketing/TermsAndConditions and shall become effective immediately from the date posted.
