Dear fellow Scouter,

I hope and your family are safe and well, and that you're still enjoying your Scouting.

In this newsletter, I'd like to share some of the recent enhancements added to the Scouts Online website platform. There has been a focus on Adult Training this year, to support your training initiatives while face to face Scouting is not possible. Many of the new features have been suggested by fellow Scouts Online website users, like you and me. Thank you for all your great ideas, and keep them coming. Indeed, if you've got a good feature idea, that could be of benefit to you and other Scouts Online users, please contact me.

If you know a Group, Unit, District, County, Region or Area that could benefit from a new website, I would appreciate it if you could recommend Scouts Online to them and mention that we still offer a free-trial.

General Website Updates

Interactive Training Module Matrix
Interactive Training Module Matrix

If you've ever struggled to work out which training modules are required for a new leader or executive committee member, based on their role, then this new tool is for you.

We've added a training module matrix that is specific to a Scouting role. The new adult just selects their role and the training module matrix changes to only show the training modules that are applicable for their role.

The Interactive Training Module Matrix also includes module information links to scouts.org.uk pages, links to the Scouts online e-learning courses and if your District or County has any training courses planned which include the module, it will show a link to those courses too.

We've added a Gift Aid Declaration form to your website.

The donator will need to verify their email address, so this could be used as proof that they've electronically signed up for Gift Aid.

Country Specific Colours
Country Specific Colours

Website styling has been enhanced to show Country specific colours in key areas.

If your website has the Country field set to Northern Ireland, Scotland or Wales, you will notice highlight country colours used in the following areas:

  • Home Page - Image banner panel, Who Are We panel and parallax panel border
  • All page footers
  • Right-hand link panels on various members pages
  • Various list header bars
  • Other panels - E.g. Sectional promise pages

Setting Your Location
Setting Your Location

When adding a new group or changing your location, you can now estimate the Latitude and Longitude, from the Post Code, by clicking the [Estimate] button. This can be especially useful when adding lots of groups to a County website.

As well as populating maps on your website, the latitude and longitude fields in Global Settings or Group Details also defines your location so that Google can help local people find your website.

To get exact latitude and longitude figures, you can use maps.google.com, move to your HQ, right-click and choose What's Here.

Coronavirus Information

Scouting Coronavirus information and a link to The Scouts Covid information page was added to the Who Are We panel on the home page, earlier this year.

We will remove this information for you when normality resumes. You can also override this with your own local messaging.

I've started to create YouTube tutorial videos to keep you up to date of new features and show you how to get the best out of your Scouts Online website.

Map Control Module

If you want to show positions on a map, on your own web pages, you can now use a new map control.

PayPal Payments
PayPal Payments

The PayPal payment module allows you to collect subs, donations, hall booking fees, camp subs and more. You can set it up to your requirements.

The module now waits for PayPal to verify that they have processed the payment before sending you the details of the purchase.

The PayPal control is available on your custom pages and the Members/Payments page.

The recent changes to the Scouts adult training scheme have been added into your website, plus slight changes to the module colour styling.

This affects the training course setup in Event Management, training module information links, the Interactive Training Module Matrix and the Validate Your Training tool.

There's a new Adult Training information page for Groups, to help support your adult training initiatives.

The page includes information and training resource links. Additionally, if your District and/or County has a Scouts Online website with future training courses setup, the page will also display a list of their courses.

The Adult Training page is on the Members menu, and can be switched on in Admin / Page Management.

Badge Progress Chart

The Badge Progress charts, which are powered by data from OSM, now have a sort field.

You can now see the members list sorted by name, or in age order like many traditional badge progress wallcharts.

Identify Recruitment Opportunities
OSM Members Map

When face to face Scouting restarts, we may find that some members have left and we need to start recruiting for new members. It could be really useful to understand where your members are located, so that you can focus recruitment initiatives geographically.

Using the members data from OSM, we've created a members map tool for you. There are options to show dots (as above), pin markers in sectional colours or a heat map to highlight your popular areas. You can also filter the members map by section.

To ensure data privacy, the map is only accessible to Site Admin users. You can view the map by clicking the [Members Map] button on the OSM Integration Settings, from within the Group Details page.

OSM Integration Tester

When setting up the integration to Online Scout Manager, there are External Access changes to be made within OSM. To help you identify any issues, a testing routine has been added to the OSM Integration Settings page, from within the Group Details page.

The routine will run through each of your sections, check that the terms are current and setup correctly, check programme/event access, find the number of members available for the current term, count the members badges, check patrol points, count the flexi-records and count the leaders. Where there's a potential issue, the details will be highlighted in red.

District, County, Area & Region Website Updates

Promote Your Groups

Would it benefit Scouting in your area if all your groups had their own website?

Did you know that Scouts Online offer group websites from just £3/month and free setup? This initial package level is ideal to give your groups a web presence without the need for updating their own website.

We also offer Unit websites, which could promote all your ESUs in one website, from £15/month.

A section filter has been added to the map on the Group page. When a prospective Explorer Scout is looking for a Unit, they can select Explorer Scouts, and it will only show the Explorer Scout Units on the map.

Online Reference (RF) Form
Online Reference Form

We've added a new form to allow referees to submit a reference for a new adult through your website.

You can find the form on the Members/Adult Appointments page Forms links panel or at www.YourWebsiteAddress.co.uk/Members/AdultReferenceForm.

Your AAC Secretary could email a link to this page to the referee instead of posting the printed form. You could also change the form settings so the email goes directly to your AAC Secretary. We hope this streamlines your processes.

Validate Adult Training
Validate Adult Training

During these challenging times, adult training needs to be validated remotely. Although part of this may require a conversation, much of the proof could be submitted electronically.

With this in mind, a "Validate Your Training" form has been created. The form askes the adult to enter specific fields depending on the module they've completed. They can enter details of what they've done and attach documents as evidence of training completed.

NB. For security, the form requires the user to login before submitting evidence. You could create a "Generic User" in User Management for this, and email the login details to your leaders. Contact us for more information.

The Nights Away Notification and Activity Notification forms have been updated to add fields to verify that the Commissioner and attendees have seen the associated Risk Assessments.

Website Hints & Tips

Stop Spam Emails
Stop Spam Emails

If you find that you're receiving website contact form emails with spurious or inappropriate messages on them, you can switch on Captcha.

Captcha adds an addition step to all contact forms to ask the user to enter a Scouting term, to ensure that it's not been submitted by a "robot".

Just tick the "Captcha Reqd" field in Global Settings, or Group Details, from the Admin menu.

Privacy Policy
Privacy Policy

A Privacy Policy page was added to your website a few years ago. We recommend that you personalise it to reflect your own local policies. You can find this at www.YourWebsiteAddress.co.uk/Management/PrivacyPolicy.

By default, all contact forms show a tick box and link to the Privacy Policy at the bottom of the form. If you have a form that doesn't show it, tick the "Show GDPR Consent Prompt" field. NB. GDPR doesn't allow us to force people to agree to the privacy policy before submitting a form.

To personalise it, login with a Site Admin password, edit the Privacy Policy HTML Content module, set the Use/Edit field to your Group/District/County name, click [Get Settings from Default] and edit the text as required. As ever, if you want a hand, please contact us.
