Greetings, fellow Scouter!

I hope this message finds you in good health and high spirits as you continue your Scouting journey.

Over the past year, the Scouts Online website platform has undergone some exciting developments and I am delighted to share some of the latest enhancements with you.

Many of these new features were suggested by fellow Scouts Online users such as yourself, and I would like to take this opportunity to extend my gratitude to Rod, Ian, Jon, Jonathan, Richard, and many others for their inspirational ideas.

With so many changes happening in the Scouting organisation throughout 2023, we will be making changes around Scouting role and team names as information is released, but please contact me with any additional ways that your website could further help to you and your teams.

If you know of any Group, District, County, Region or Area that could benefit from a new website, please do not hesitate to recommend Scouts Online to them. Don't forget that we are still offering a free trial.

Website Hosting Infrastructure Upgrade
Your Action is Required

We have built a new website hosting infrastructure that offers improved performance and utilises the latest technology and software. As a result, we would like to transfer your websites to this new hosting infrastructure and retire the existing one. Your website functionality, administration and charges will remain unchanged.

If you use your own domain name for your website (such as 1stScouts.org.uk or OurScouts.org.uk), a minor adjustment to your DNS (domain name system) settings is required to point your website traffic to the new hosting infrastructure.

For Groups, Districts and Counties only using a sub-domain (like 1stScouts.scoutsonline.co.uk), we have already completed your migration to the new hosting infrastructure. Therefore, you do not need to make any changes in this case.


Change your Domain Name's Settings

To make the changes, you need to access your domain name provider's Control Panel and follow these steps:

  1. Log in to your domain name provider's Control Panel.
  2. Locate the settings for your domain name and access the DNS (or advanced DNS) settings.
  3. Replace all occurrence of the IP address 212.67.221.6 with the new IP address 92.205.110.166

After making the changes, double-check the DNS settings page to ensure that the modifications have been successfully saved. The interface may resemble the following example:

Please note that the process of propagating these changes can take anywhere from 5 minutes to 48 hours. However, your website should not experience any downtime during this period.

If you prefer that Scouts Online handle these changes on your behalf, please contact Chris using the Support Contact Form, providing your domain name registrar's website address, your user login, and password. For security reasons, we recommend changing your password before and after this process.


Don't know who administers your domain name?

Scouts Online does not provide domain names, as they are typically set up and maintained by someone within your organisation who handles the payments.

If you are unsure who that person is, your Treasurer may know who claims back the annual/biennial charge for your domain name. You could also contact the domain registrar responsible for the service. You can find the registrar by entering your domain name HERE.

Migration Schedule

To ensure a smooth migration process, we have established a schedule indicating the recommended timeframe for making DNS changes. We kindly request that you refrain from making these changes on Fridays, Saturdays, or Sundays to minimise any assistance that you may unexpectedly require over weekends.

Create Your Own Scouting Contact Forms

Contact Form Management

Introducing our powerful management suite that enables you to design customised contact forms with advanced Scouting features.

Contact forms can include various input fields such as text input, drop-down lists, multiple choice options (radio buttons), multi-select (tick boxes), email addresses and date selectors, among others. You can also organise form fields into blocks and include spacers between fields for better presentation.

Let's Work Together

Similar to Scouts Online software improvements, if a feature proves beneficial to you, it's likely to benefit other Scouters as well.

In keeping with the community aspect of Scouts Online websites, certain forms devised by Group, District and County Site Admin users may be incorporated into the standard contact forms set. By doing so, we can all reap the rewards of these advancements.

There are details below showing how to create your own contact forms, but if you'd prefer us to create a form for you, please contact us with your requirements.

To begin creating your contact form, navigate to Admin/Contact Form Management and click on the [Creation Wizard].

From there, you have the ability to customise the number of sections, columns and fields for your form.

After setting up your contact form, click the [Show Preview] button to view a preview of your form. If needed, adjust the settings. When you are happy with the outline of your form, click [Create Contact Form] to save your form and begin editing it further.

Adapt an Existing Contact Form

If you see a form in the list that has a similar use to your requirements, you have the option to [View] the form and create a duplicate copy to serve as the foundation for your own form.

After generating a copy, you can [Amend] the form, adding and changing fields as necessary to meet your specifications, without altering the original form.

Create a Contact Form from Scratch

To construct your own contact form from scratch, simply select the [Create New Form] button.

To use your form as an event booking form, to add to your events in Admin/Event Management, set the Form Usage field to "Event Booking Form". You can add and flag fields that correspond to the fields in the attendee information to store the details against the events (where the Max Attendees field is set).

Whether you've created a form from scratch, copied an existing form or used the Creation Wizard, you have the ability to edit the form name, description and sections, columns and fields to your requirements.

You can add/delete/merge/copy Sections, add/delete/move Fields and change the settings for sections and fields.

Organise Fields into Sections

Sections can be used to accomplish various form customisation options, such as dividing fields on your form, assigning different numbers of columns to a group of fields, creating virtual pages within your form, or enabling users to jump to specific questions based on the selected option in a field.

When using sections, you have the ability to include a section title and introduction, specify the number of field columns for each section, determine whether the section is displayed at the same time as the one above it (or not), and establish a bookmark that redirects the user to the section when they choose a specific option from a drop-down list.

Field Types

In addition to specifying the Field Name, Width, Column and Mandatory status for each field, you may set the type of each field. The Field Type determines the appearance and functionality of the field, and the following types are available:

  1. Single Line Text Field: A basic text field, for First Name, Surname, membership number, etc.
  2. Multi-Line Text Field: Allows the user to enter a paragraph of text or an address.
  3. Drop Down List Selection: Provides a list of options for the user to choose from, which can be set up manually or selected from a predefined list, such as:
    • Districts in your County
    • Groups in County/District
    • Section Types (with/without age ranges)
    • Sections in your Group (with/without age ranges and meeting times)
    • Scout Roles
    • Members in a Specific Team (E.g. Training Team)
    • Website Users
    • Adult Training Modules
    There are also variants of the Districts and Groups lists to send a copy of the form email to the selected District's DC or selected Group's GSL.
  4. Multiple Choice: Tick one option from a list (Manually created or from an predefined list - See Drop Down List Selection above).
  5. Multi-Select List: Tick multiple option in a list (Manually created or from an predefined list - See Drop Down List Selection above).
  6. Email Address: The email address format will be validated. This field type optionally allows the email address to be added to the recipients of the email for the form. E.g. GSLs email address to receive a copy of a NAN form.
  7. Date: Enables the user to enter a date or select from a calendar.
  8. Date and Time: Enables the user to enter a date and time or select a date from a calendar.
  9. Column Width Text Label: Display a text paragraph across the full width of the form.
  10. Field Width Text Label: Display some text across the width of a column, with/without a field name.
  11. Spacer: Inserts a blank line below the previous field.
  12. Spacer Line: Inserts a line below the previous field, spanning the width of the column.
Page Designer Enhancements

The Page Designer includes more controls and features to help you to quickly design high quality pages on your website.

After logging in as a Site Admin user, you can create pages either through Admin/Page Management or by selecting the [+New Page] button at the bottom of any menu and assigning a page name. Once you access the new page, the [Edit Toolbox] button will appear on the left-hand side of the screen, providing you with controls that you can add to your page.

The following enhancements have been implemented:

  • Adv. Page Layout: A new feature that provides you with more control over the layout of your user-defined page.
  • HTML Panel: A new control that displays text/HTML within a Scouting-coloured block.
  • Links List: "Resource Links" display type now includes a Title.
  • Video Player: In addition to YouTube videos, Vimeo videos can now be displayed, and you have the option to autoplay and/or loop videos. Furthermore, a [Get Inspiration] button is available to show a list of videos that have been featured on other Scouts Online websites (excluding videos that have been set to Private).
  • Google Map: When adding a Google Map, the location will automatically be set from your website.
  • Events List: This control is now available for group websites to show a programme or a list of events. Additionally, Google Calendar events can also be displayed within Events List controls - See further down this newsletter for more details.
  • Team List: A new control is now available for group websites. More team types have also been added (Campsite and Maintenance). More teams will be added during 2023 in line with Scouting changes, but please contact us if you would like a specific team adding.
  • Group Finder: A new control for County and District websites that enables parents to locate their nearest groups by Post Code or Current Location.
  • Animation: All controls now have settings to highlight content when using an animated theme, such as "2021 Styling + Animation".

Display events from a Google Calendar

It is now possible to showcase events from your Google Calendar alongside other website events on your user-defined pages.

To do this, simply input your public Google Calendar ID, along with a title, tab colour and image type, when adding an Events List in the Page Designer. You have the ability to select from various display types including the calendar format.

Tip: To show UK Bank Holidays (shown in pink in the calendar to the right) in an Events List, use the Calendar ID of en.uk#holiday@group.v.calendar.google.com

Search Engine Optimisation

SEO is the practice of optimising a website in order to increase its visibility and ranking in search engine results pages. The goal of SEO is to make it easier for search engines like Google, Bing and Yahoo to crawl and index a website's content and to rank the site higher in search results for relevant keywords.

There are many factors that can impact a website's SEO, including the quality of its content and the relevance of its keywords.

We've made changes to improve SEO of all Scouts Online websites. These include the following:

  • Updating meta page titles, keywords and descriptions
  • Improving social media and photo album meta data
  • Updating google canonical links
  • Adding apple touch icons to pages
  • Standardising other links

Promote Your Website on Google
Submit To Google

The Admin/Group Details and Admin/Global Settings pages now have a new [Submit Site Map to Google] button. By clicking this button, you can request Google to crawl your website and include its information in their search results.

It is worth noting that it may take about a week or two for Google to index your website.

Training Module Links

Links to online e-learning courses have been incorporated into the Members/Adult Training page. If this feature is not visible on your website, you can enable the panel by logging in as a Site Admin user.

NB. These link panels will be updated when more information is released about the changes to the adult training scheme.

Section Promises

All Scout promises have been rationalised and updated to include the word "King" where applicable.

Form Recipients Mail Merge Field
Form Recipients Mail Merge Field

A new merge field has been added to the Contact Form. By inserting [##RecipientsEmailAddresses##] within the Auto-Reply message of a Contact Form control, the merge field will be replaced with the email addresses of all recipients, in the auto-reply email sent to the person who fills out the form.

This merge field has also been added to the standard NAN form's auto-reply, where the leader will be requested to email their risk assessments.

Other merge fields that may be used in the Auto-Reply field include [##FirstName##], [##ApplicantsFirstName##] and [##DomainName##].

Full Youth & Adult Application Forms
Medical Information

To encourage more people to provide medical information on Full Youth and Full Adult Application Forms, several additional fields have been made mandatory.

Parents are now required to provide the Doctor's name, address and telephone number. Additionally, they must select a Disability and provide information on Dietary requirements, Allergies and Medical Information (or tick "None").

Google Analytics 4

We have made changes to your website, to allow you to analyse your website views using Google Analytics 4.

Google Analytics 4 is the latest iteration of Google's widely-used web analytics platform. It provides valuable insights into the traffic your website receives, enabling you to understand user behavior and measure performance.

To get started with Google Analytics, sign up on their website at analytics.google.com. After registering your website's domain name, you will receive a unique Google Measurement ID. Simply enter this ID into the Google Measurement ID fields within your Scouts Online website's Global Settings or Group Details admin page and click [Save].

Automatic Updates

As part of our on-going partnership with you, we've updated websites that have outdated styling to now reflect the latest look-and-feel styling, home page design and footer. This was implemented in December 2022.

Captcha - Reduce Spam from Contact Forms

In order to minimise the number of spam emails received through your website contact forms, we have activated Captcha for all websites.

Erroneous Link and Image Addresses

To ensure that your website looks good and operates well, we reviewed all images and links on all Scouts Online websites and notified website main contacts of any potential issues with link and image addresses via email earlier this year. We hope that this was beneficial and aided in the maintenance of your websites.

More Images in the Inventory
More Branded Images

We have expanded the image inventory in the Scouts Online Files with more branded images from scouts.org.uk. We've also replaced the Queen's Scout Award image with the King's Scout Award image.

To use these images in your website pages, events and news articles, you may choose images from the Scouts Online Files by navigating through the inventory folders.

YP Award Notification Form

The Young Person Award Notification form now includes the Chief Scout's Acorn Award (Squirrels) and Scouts of the World Award (Scout Network).

Group & Unit Website Updates

OSM Waiting List Integration

Where the same email address has been entered in both the young person's details and the parent's details on the Basic Join Us form, only the parent's email address field will now be populated in the OSM membership record, and not the young person's email address.
